Privacy Policy
Last updated: October 16, 2026
This policy explains what information Crewfloor LLC ("Crewfloor," "we," "us") collects when you use the Crewfloor Mac app, website, and online workspace (the "Service"), how we use it, and the choices you have. Our Terms of Service also apply.
The short version:
- Your agents run on your own Mac, using your own Claude account. We don't run the AI and we never see your Claude password or API key.
- We store what your team puts into its workspace so everyone stays in sync.
- We don't sell your information, we don't show ads, and we don't use your content to train AI models.
1. Who's responsible for your information
- Your account information (section 2.1): Crewfloor decides how it's used and is responsible for it.
- Workspace content (section 2.2): your company's information, which the workspace owner controls. We handle it on the workspace's behalf, to run the Service. If you're a member of someone else's workspace, questions about its content may be best directed to that workspace's owner.
2. What we collect
2.1 Account and profile information
- Account: your name, email address, and password. Passwords are stored only as a secure hash by our authentication provider.
- Your profile in each workspace: job title, role, the office look you designed, and how much of your Claude plan you share with the team.
- Claude plan details: which kind of Claude plan you have (for example Pro or Max) and how much of its usage limits are used, so your team can see whose plan is available. We get this from the Claude app on your Mac. We don't collect your Claude password or API key.
2.2 Workspace content
Everything you, your teammates, and your agents add to a workspace:
- chat messages, reactions, and files you attach;
- facts saved to the company brain;
- tasks, documents, comments, approvals, meetings, and mini-apps with their records;
- agent settings, names, and appearance;
- the company name, description, and logo.
2.3 Connections
When you connect another service (for example Google Drive, GitHub, Slack, Linear, or Stripe), we store what's needed to make it work:
- the connection's settings;
- any keys, tokens, or secrets. These are stored encrypted, and are only decrypted for workspace members' Crewfloor apps when an agent uses the connection.
2.4 Activity and device information
- Whether you're online. The app checks whether your Mac is awake and in use, so teammates can see who's at their desk, the same way Slack does. That check happens on your Mac. We receive only "online" or "offline" and the time you were last seen, never what you're doing.
- What your Mac can run. For example, whether it has a code sandbox or Mac & iOS builds set up, so work that needs those can go to the right Mac.
- Agent run statistics: when an agent worked, how long it took, and, where Claude reports them, the tokens used and estimated cost.
- Technical logs: our hosting providers record standard server logs (IP address, request time, and similar). These are kept for a short period, normally days.
2.5 Billing information
When you buy a plan or add-on, our payment processor, Stripe, collects your payment details. Stripe also collects your billing address, and a tax ID if you add one, to work out the sales tax or VAT that applies. We receive the billing contact, the plan, the payment status, and the last digits of the card, but never your full card number.
2.6 What stays on your Mac
Some things never reach our servers:
- the files agents keep in their working folder (
~/Crewfloor), unless someone shares them into the workspace, or the workspace uses the cloud sandbox (section 5); - your Claude login and API key;
- your location, if you allow it. The office uses it only to show your local weather and daylight. Your Mac sends rounded coordinates directly to Open-Meteo, a free weather service, to get the forecast.
3. How we use information
We use information to:
- provide the Service: keep workspaces in sync, show presence, route agent work to available Macs, and deliver notifications;
- secure the Service: authenticate you, prevent abuse, and investigate problems;
- support you and communicate with you, including account emails such as confirmations, and important notices about the Service or these policies;
- bill you for paid plans;
- understand and improve how the Service performs, mainly with aggregated, non-content data such as error rates and usage counts; and
- meet legal obligations and enforce our Terms.
We don't:
- sell your personal information;
- share it for targeted advertising;
- read workspace content, except when you ask us to (for example for support), when it's needed for security or to investigate abuse, or when the law requires it; or
- use your content to train AI models.
4. Anthropic and AI processing
When an agent works, the Crewfloor app on a team member's Mac sends the relevant workspace content (for example the conversation, brain facts, or a document) to Anthropic under that person's Claude account or API key. Anthropic handles that data under its own terms and privacy policy, as part of your relationship with Anthropic. Crewfloor doesn't control how Anthropic processes it.
5. Who we share information with
We use a few providers to run the Service. They may only use your information to provide their services to us.
| Provider | What they do for us |
|---|---|
| Supabase (on Amazon Web Services, United States) | Database, sign-in, file storage, and real-time sync for workspaces |
| Vercel | Hosting for our website and the app's screens; with the cloud sandbox add-on, running the workspace's sandbox and storing its code and files |
| GitHub | Hosting app downloads and updates |
| Stripe | Payments, billing addresses and sales tax, once you're on a paid plan |
Services you or your Mac talk to directly:
- Anthropic, for agents (section 4).
- Connected services you choose to add, such as Google or GitHub.
- Open-Meteo, for weather.
- DuckDuckGo's icon service, to show logos for connections. This shares only a service's public domain name, never your data.
We also share information:
- Within your workspace. Your profile, presence, and what you post are visible to the workspace's members, according to its settings. Direct messages are visible only to the people in them.
- For legal reasons. We share information when required by law or valid legal process, or when needed to protect the rights, safety, or property of our users, the public, or Crewfloor.
- In a business transfer. If Crewfloor is merged, acquired, or sells its assets, your information may transfer as part of that deal, under the protections in this policy.
6. How long we keep information
- Accounts and workspaces: while they're active.
- After deletion: when you delete your account, or an owner deletes a workspace, we delete the associated information from our active systems within 30 days. Backup copies expire on their own schedule, normally within 30 days after that.
- What we keep longer: billing records and information we're legally required to keep, or that we need to resolve disputes or enforce our Terms.
- When you leave someone else's workspace: content you added generally stays with that workspace, which its owner controls.
7. Security
We protect information with:
- encryption in transit and at rest;
- encrypted storage for connection secrets;
- database rules that let people see only the workspaces they belong to; and
- private real-time channels limited to each workspace's members.
No system is perfectly secure. Keep your password safe, and tell us right away at the address below if you think your account has been compromised.
8. Your choices and rights
You can:
- see and edit your profile in the app;
- leave a workspace;
- change or remove connections;
- turn location off in your Mac's settings; and
- delete your account.
You can also ask us to access, correct, export, or delete your personal information by emailing adam@crewfloor.io. We'll respond within 30 days, and sooner where the law requires. We may need to verify your identity first.
Depending on where you live (for example Colorado and other U.S. states with privacy laws, the European Economic Area, or the United Kingdom), you may have additional rights, such as appealing a decision we make about your request or objecting to certain processing. We'll honor them as the law requires. We won't treat you differently for using your privacy rights.
If you're in the EEA or UK:
- Legal bases. We process your information to perform our contract with you, for our legitimate interests in running and securing the Service, to meet legal obligations, and with your consent where we ask for it (for example, location).
- Transfers. Your information is processed in the United States, with appropriate safeguards for international transfers.
- Complaints. You may complain to your local data protection authority.
9. Children
Crewfloor is for people 18 and older, and isn't directed to children. We don't knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we'll delete it.
10. Cookies and local storage
We don't use advertising or third-party tracking cookies. The website and app use your browser's or app's local storage to keep you signed in and to remember preferences such as your theme or the office layout. If we add product analytics in the future, we'll update this policy first.
11. Changes to this policy
We may update this policy as Crewfloor changes. If a change is material, we'll notify you in the app or by email before it takes effect. The date at the top shows the latest version.
